About the Role
Auren Personas, through our Selection & Executive Search Division, provides specialized Human Resources consulting services. We are currently supporting Cipla, a leading global pharmaceutical company, in the search for an Office Manager to join their team in Spain.
Your Mission
As Office Manager – Spain, you will be the operational backbone of Cipla’s Madrid office. From managing day-to-day administration and HR support to coordinating orders, suppliers, and contracts, your role will be essential in ensuring smooth operations and supporting the growth of the business.
Key Responsibilities
- Oversee general office management, including supplies, IT assets, and service providers.
- Support HR processes: onboarding, contracts, leave management, benefits administration.
- Handle daily customer order processing (hospitals and wholesalers) and follow-up with logistics.
- Manage supplier invoices, digital signatures, and vendor registration.
- Coordinate internal meetings and assist with EHS and occupational health requirements.
- Review and prepare client/supplier contracts.
- Provide support with incident resolution related to sales orders.
- Liaise with internal teams and external stakeholders to ensure operational efficiency.
What We're Looking For
- 3–4 years’ experience in office management or similar roles.
- Solid organizational and multitasking abilities.
- Intermediate Excel skills and high level of English.
- Proactive mindset, attention to detail, and problem-solving orientation.
